First Presbyterian Church of Lake Forest is seeking a full-time Executive Assistant to the Senior Pastor/Head of Staff. The individual would serve as the executive and trusted assistant to the Senior Pastor/Head of Staff by providing high-level support in a wide range of administrative activities.
PRIMARY DUTIES RESPONSIBILITIES
- Provide support for the day-to-day operation of the Senior Pastor’s office
- Represent the Senior Pastor in their absence with communication reflective of the mind set and attitudes of the Senior Pastor
- Foster strong public relations with congregation and public
- Maintain Senior Pastor’s calendar by scheduling appointments, meetings, retreats, and speaking engagements
- Prepare expense reimbursement reports for all travel, meals, and entertainment
- Coordinate travel arrangements
- Attend meetings as requested, maintain minutes, compile data, and create reports as needed
- Support the Senior Pastor’s participation on Presbytery
- Assist the Senior Pastor in the development of innovative ideas and special projects. Research and retrieve items, books, and articles as directed
COMMITTEE, CONGREGATIONAL MEETINGS, AND TASK FORCE TEAM SUPPORT
- Support Capital Campaign Committees and Task Forces
- Assist All Church Nominating Committee, Staff Support Team, Stewardship, and Adult Formation Committee
- Compile Annual Statistical Report, Annual Minute Report, and Annual Congregational Report
- Coordinate Annual Congregational Meeting communications, setup, and staff support
- Assist with the annual performance review process and senior leadership 360 review process
- Prepare and host celebrations for staff birthdays and anniversaries
SESSION SUPPORT
- Work with the Senior Pastor and Clerk of Session to ensure proactive maintenance of agenda, time table, communication and strategy related to the work of the Session
- Compile and distribute Session packets to elders
- Prepare monthly Pastoral and Worship Attendance Statistical Reports
- Maintain official record of Session minutes
- Officer Training – coordinate with staff to produce training with focus on elders
- Ordination and Installation – coordinate with all new incoming and existing elders to attend service
ACS
- Maintain congregation membership information in church database, including all new member records, member status, contact information, baptism, confirmation, wedding, marital status, and notating deceased members
- Assist members with online access to member directory
- Perform inactive membership purge every 3-5 years
RELATIONSHIPS AND ACCOUNTABILITY
The Executive Assistant is accountable to the Senior Pastor/Head of Staff. It is expected that Executive Assistant will work as a member of the overall staff team toward an effective and faithful ministry of the church.
PERSONAL QUALIFICATIONS/CHARACTERISTICS
- Demonstrated high-level written and oral communication skills
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Proficient in Microsoft Office software, especially in Word and Excel
- Knowledge of ACS Client Software is desirable; and/or willingness to be trained
- Team player with high integrity, patience, positive attitude, self-motivated and solution seeker
- Proven ability to handle confidential information with discretion
- Capacity to respond to people’s needs from a faith-based perspective
- Awareness and understanding of the Lake Forest/Lake Bluff communities
